2. Information We Collect
2.1 Account Information
When you register or use the Service, we collect: name, email address, organization name, and optionally phone number. These details are stored in our authentication system (Keycloak) and our databases.
2.2 Usage Information
We log user activity (e.g., create, update, delete actions) for auditing, and may log LLM query history for debugging and traceability of agent runs.
2.3 Payment Information
We process payments directly. Payment details are handled and stored securely in accordance with applicable payment security standards.
2.4 AI & Data Usage
- We do not use your prompts or outputs to train external LLMs unless you explicitly enable our training feature.
- We operate a multi-tenant architecture: infrastructure is shared, but each tenant has a separate database/schema to isolate data.
3. How We Use Information
- Provide, operate, and maintain the Service.
- Enable creation, execution, and management of AI agents.
- Ensure security, monitor misuse, and support auditing.
- Provide customer support and process payments/subscriptions.
- Comply with legal obligations.
4. Storage & Security
We store data on AWS services including Amazon RDS, Amazon S3, Amazon DynamoDB, and Amazon OpenSearch. We apply appropriate technical and organizational measures to protect information against unauthorized access, alteration, disclosure, or destruction.
5. Data Retention
- Your tenant data persists until you delete it via the portal/admin interface.
- Logs and auditing data are retained according to your configuration (up to 1 year).
6. Sharing of Information
We do not sell or share personal data with third parties except: (a) when required by law or lawful process; (b) to protect our rights, users, or the Service; or (c) to service providers acting on our instructions under appropriate safeguards.
7. Your Rights
Depending on your location, you may have rights to access, correct, delete, or export your personal data, and to object to or restrict certain processing. To exercise rights, contact support@akabot.com.
8. Children
The Service does not have age restrictions, but it is intended for professional use. Accounts must be created and used by individuals with authority to enter agreements.
9. International Transfers
Data may be processed in locations where we or our cloud providers operate. We take steps to ensure appropriate safeguards for cross-border transfers where required.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated version and revise the “Last Updated” date. Continued use of the Service after changes indicates acceptance.
